Your responsibilities and tasks
- Prepare and manage sales quotations, pricing calculations, and technical-commercial clarifications for spare parts, repairs, maintenance, and service-related activities.
- Manage Order Desk activities, including order processing, purchase order placement, commercial approvals, order tracking, delivery coordination, invoicing, payment follow-up, and the management of customer claims and returns to ensure timely resolution.
- Coordinate end-to-end logistics activities, including shipment planning, tracking inbound and outbound shipments, and liaising with GEA factories to ensure timely order execution and delivery performance.
- Prepare, verify, and maintain import/export documentation in compliance with customs regulations, customer requirements, and company procedures.
- Coordinate with GEA factories, suppliers, and internal stakeholders to ensure timely execution of orders and customer requirements.
- Monitor order backlog and proactively follow up with customers, suppliers, and GEA sites to support timely order conversion and delivery performance.
- Review customer contracts, terms and conditions, and provide operational support to the Service Sales team in day-to-day business activities.
- Administer ERP and CRM systems (SAP, C4C, or equivalent) and maintain accurate customer, order, service, and installed-base records.
- Prepare and maintain reports, forecasts, backlog analyses, and business performance metrics to support management decision-making and operational planning.
- Monitor outstanding receivables and coordinate with Finance to support timely collections and cash flow management.
- Act as the primary point of contact for customers regarding quotations, order status, deliveries, and service-related inquiries.
- Contribute to continuous improvement initiatives to enhance operational efficiency, service quality, and customer satisfaction.
Your profile and qualifications
- Minimum 2-5 years of experience in order management, customer service, logistics coordination, spare parts operations, or service support within an industrial or engineering environment.
- Experience working with ERP and CRM systems such as SAP, C4C, or similar platforms.
- Good understanding of import/export regulations, shipping documentation, and international logistics processes.
- Proficiency in Microsoft Office applications, particularly Excel.
- Good financial understanding of invoicing, receivables, and payment follow-up, with strong problem-solving and coordination skills.
- Highly organized, accurate, and detail-oriented, with the ability to manage multiple priorities and meet deadlines.
