Your responsibilities and tasks:

General Administrative duties:

  • Schedule and organize complex activities such as meetings, travel, and department activities.
  • Creates and develops visual presentations.
  • Types and designs general correspondence, memos, business plans, etc.
  • Establishes, develops, maintains, and updates electronic filing system for functional areas
  • Performs other duties as assigned.

Your profile and qualifications:

Health, Safety, and Environment [HSE]:

  • Assist with updating & maintaining customer safety portals
  • Monitoring & entering data into GEA’s Accident tracking system  - i.e. SoFi System
  • Creating & sending reports from SoFi
  • Working with local & Global HSE team members to assure all requirements are being met
  • Financial coding of logistics invoices

Quality Management System [QMS] – ISO 9001 – 2015 Standard

  • Developing internal audit schedules for 5-7 sites; send invites, track reporting, etc.
  • Develop procedures, work instructions, and process maps utilizing Microsoft Word and Visio
  • Maintaining & monitoring Corrective Action activity – including tracking on-time completion
  • Development and maintenance of key performance indicator charts for functional areas; providing monthly updates


  • Support with ERP [SAP & Microsoft Axapta] data input for tariff coding requirements
  • Financial coding of logistics invoices
  • Track compliance audit results, update key performance indicator charts and distribute to functional areas

Special Projects:

  • Create meeting invites, meeting minutes, and track completion of assigned action items
  • Utilize Microsoft Project to keep project on-track
  • Active team member in identified projects, if applicable


  • Minimum Education:  High School diploma or equivalent
  • Minimum Experience:   Three [3] - five [5] years related administrative experience
  • Minimum Skills:  Excellent written and verbal communication skills, excellent inter-personal skills, detail oriented, strong organization skills, strong experience with Microsoft Office Suite [Outlook, Word, Excel, Power Point, Visio, and Project]


  • Sit for up to 8 hours per day
  • Must be able to lift/carry 10-15 lbs. occasionally
  • Sufficient hand, arm and finger dexterity to operate computer keyboard
